This website is owned and operated by The Conscient Group LLC, a limited liability company organized under the laws of the State of Wyoming ("we", "us"). West Chester Bocce Club (wcbocce.com) is a recreational-sports community website providing league information, member accounts, scheduling, live scoring, a member directory, and related services. It is built and operated on Conscient Neural, our technology platform.
The Conscient Group LLC is the data controller for information collected through this website. The West Chester Bocce Club is a community the site serves; it does not own or operate the website or control the data collected through it.
We collect the following, most of it directly from you.
Emergency contact name and phone number. We ask for this, together with your address, as a condition of league participation for insurance and player-safety purposes. You must provide it to use your member account.
If you choose to provide it: date of birth, photo, T-shirt size, preferred playing position, experience level, previous league, employer, occupation, dietary restrictions, Instagram handle, communication preferences, spouse or partner name and email, and who referred you.
We record how the site is used, and — when you are signed in — these records are linked to your member account, not merely anonymous:
On the public pages we also record anonymous visits so we can see how many people reach the site and where they arrived from. To do this we store a randomly generated identifier in your browser's local storage — it is not a name, email or account, and we do not store an IP address against it. If you later create an account, that identifier lets us connect your earlier anonymous visits to your membership. You can clear it at any time by clearing your browser's site data.
We are also introducing form-engagement analytics, which record which fields you begin or leave incomplete so we can improve the forms. These record the fact of interaction only — not the characters you type. See section 5.
Actions that change league data — starting or scoring a match, correcting a completed match, adding or removing a roster entry, or changing a member's role — are written to a permanent, tamper-resistant audit log. Each entry records who performed the action, when, what changed (including the values before and after), the stated reason, the IP address and the browser used. These records cannot be edited or deleted after the fact, including by us.
Questions you ask the "Pally" assistant, and its replies, are stored and linked to your member account, and are processed by the artificial-intelligence services within Conscient Neural in order to generate a reply.
Conscient Neural engages service providers to deliver parts of the platform — including hosting and data storage, network security, message delivery, and artificial-intelligence processing. These providers act only on our instructions, are bound by contract to use your information solely to provide those services, and may operate in jurisdictions outside your own (see section 9). We do not make your personal information available to them for any other purpose, and we do not sell it.
This is the section most people want, so it is stated plainly.

League administrators are volunteers of the bocce club who have been granted access to member records for league operations. They act under our instruction and have no right to use member data for any other purpose.
We retain your personal data while your account is active and for as long as needed to operate the league. League results, standings and administrative audit records are retained as a permanent historical record of the competition; audit records are by design not deletable. If you ask us to delete your account, we will remove or anonymise your personal details, but match results and the audit record of administrative actions will remain.

California (CCPA/CPRA). We do not sell or share personal information as those terms are defined under California law. California residents may request disclosure of the categories and specific pieces of personal information we have collected, and may request deletion, without being discriminated against for doing so.
Europe and the UK (GDPR). Our lawful bases for processing are: (i) performance of our contract with you, for operating your account and the league; (ii) our legitimate interests in securing, maintaining and improving the service and in keeping an accurate competitive record; (iii) compliance with legal obligations; and (iv) your consent, where we rely on it — for example for marketing messages and optional profile information. Where we rely on consent you may withdraw it at any time.
Our primary servers are located in Germany and Finland. Some of the service providers described in section 3 operate in the United States and elsewhere, so your data may be transferred outside your home jurisdiction. Such transfers are made under appropriate safeguards, including Standard Contractual Clauses where applicable.
This is an adult recreational league and the site is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
Passwords are stored as cryptographic hashes. Traffic is encrypted in transit using TLS. Access to member records is limited by role, and administrative actions are recorded in an audit log that cannot be altered. No system is perfectly secure, and we cannot guarantee absolute security.
We may update this policy as the service changes. When we make a material change we will update the effective date at the top of this page and, where the change is significant, notify members through the portal or by email.
